General Terms and Conditions

1st Participation in the BeSt Innsbruck Fair

(As of 08/06/2025)

1.1. Event and organization

The BeSt³ – The fair for career, studies and further education in Innsbruck is organized by the Federal Ministry of Education, Science and Research (bmbwf) and the Austrian Public Employment Service (AMS). The organization is the responsibility of SoWi-Holding GmbH.

1.2. Goal

The aim of BeSt³ Innsbruck is to offer interested parties, students, their parents and teachers an overview of as many training and career opportunities as possible. Prospective students and students should also have the opportunity to find out about the study conditions in domestic and foreign universities and colleges, as well as about postgraduate study opportunities. The broad spectrum of adult education should be presented – limited to higher-qualified offers. Visitors should also be given the opportunity to make direct contact with companies with specific training and job offers.

The exhibitors have to contribute to the achievement of the goal by providing qualified personnel for stand support.

1.3. Registration

Registration and ordering of a stand at BeSt3 Innsbruck is only possible via the fair online shop at https://sowiholding.at/ and must be sent completely. The registration deadlines can be found in the respective participation options or on the website https://best-innsbruck.at/.

Registrations with reservations cannot be considered.

With the binding registration, the exhibitor acknowledges the terms and conditions of participation.

For the organizer or the fair organization, agreements made are only legally binding if they have been confirmed in writing by the fair organization. Confirmation will be given after receipt of the participation fee and verification of the registration.

1.4. Admission requirements

The fair organization has the sole right to decide on the admission of exhibitors. The organizer or the fair organization reserves the right to reject an exhibitor’s participation due to the limited total exhibition space, due to a late registration and/or the non-timely transfer of the participation fee.

An exhibitor is not entitled to any further admissions as a result of an admission that has already taken place.

For exhibitors who do not offer advice on training and job opportunities in their field and who only want to use the fair to attract new customers for their products, different admission requirements and prices apply, which must be agreed separately with the fair organization.

1.5. Participation fee and scope of services

Please refer to the current terms and conditions of participation on the website https://best-innsbruck.at/ and the fair online shop at https://sowiholding.at/ and the order confirmation for the participation fee and the services included therein.

1.6. Payment

The full participation fee must be received in the account specified in the invoice within 14 days of the invoice being issued, but in any case before the start of the fair.

1.7. Withdrawal of the exhibitor

The withdrawal from the contract must be made in writing. If the contract is withdrawn (registration as an exhibitor, see above) up to 100 days before the start of the event, a cancellation fee of half of the agreed participation fee must be paid.

If the withdrawal takes place after this date, the entire agreed amount of the participation fee must be paid as a cancellation fee.

Exhibitors who have been provided with the stand free of charge will be charged the full amount (regular price according to the price list) if they withdraw from their contract up to 30 days before the start of the event.

1.8. Stand allocation

The stands are allocated in the order in which the registrations are received and confirmed by the fair organization.

The allocation of the stands is the sole responsibility of the fair organization and is carried out taking into account the theme and structure of the event in certain areas (General Advice and Information; Education and Career; Health, Sport, Social Affairs and Religion; Justice and Administration; Art, Culture and Media, Nature, Agriculture and Ecology; Languages, Travel and Tourism; Technology; Business and Management) as well as the available premises or the total area. The different areas are made visible on the panels of the stand cubicles to make it easier for visitors to find their way around.

Stand requests will be taken into account if possible. There is no entitlement to a specific location of the stand.

An exchange of the allocated stand with another exhibitor as well as a partial or complete transfer of the stand to third parties is not permitted without a corresponding written agreement with the fair organization.

1.9. Joint stands

In principle, it is possible for several exhibitors to share a stand. If several exhibitors want to rent a stand together, they must name one of them in the registration as an authorized exhibition representative who is the responsible contact person for the organizer or the fair organization.

If several exhibitors share a stand, the minimum size of the cubicle is 9m². The costs for the extended panel lettering and additional entry in the fair catalog are EUR 100,- plus VAT.

1.10. Opening Hours

On all days of the event, the fair is open to visitors from 09:00 – 17:00 and to exhibitors from 08:00 – 18:00.

The exhibitors must ensure that the stand is staffed during the opening hours for visitors.

1.11. Construction and dismantling of the stand decoration

The exact information about the construction and dismantling of the stand decoration, as well as the delivery of the fair material will be announced to the exhibitors in good time.

Only fire-police-approved materials may be used as stand decoration. A fire safety certificate must be brought along for own carpets and textile decoration, which must be presented on request.
The fire behavior of decorative items must meet the following classifications:

  • according to ÖNORM B 3822 flame-retardant and non-dripping,
  • according to ÖNORM A 3800-1 low-smoke (smoke development class Q1)

Each exhibitor will be informed in good time about the size and location of his stand in order to be able to prepare the stand decoration accordingly. Structural changes on the set-up day before the start of the event can no longer be made.

When using audiovisual equipment (televisions, monitors, projectors, etc.), the exhibitor must ensure that it does not disturb the neighboring exhibitors. Own boxes, announcements with microphones or music are not permitted.

All facilities and structures must be set up in a stable manner. Loudspeakers and spotlights overhead, with a dead weight of more than 3 kg, must be double-secured.

Advertising towers that are operated with hot air or air blowers must be secured against falling over in the event of a power failure.

1.12. Stand construction

The stand construction is carried out with 2.5m high aluminum uprights, as well as aluminum frames and 6mm homogeneous panels drawn into them as wall elements. The uprights and frames must not be nailed, screwed, painted or glued. Painting over the homogeneous panels, wallpapering with wallpaper that can no longer be removed, and gluing with carpet adhesive tapes is not permitted. Damaged stand elements will be repaired or newly procured at the expense of the exhibitor. Until the rented material or furniture is properly returned to the stand construction company, the exhibitor/client is also liable for accidental damage. In the event of improper return, the new price of the missing or damaged items will be charged.

Complaints will only be accepted until the start of the event. The removal of exhibition goods and dismantling of stands before the end of the event is not permitted and will be charged with a penalty of EUR 1,000.

1.13. Advance deliveries and collection

Advance deliveries may be delivered no earlier than 10 days before the start of the fair and must be received at the address of the event location no later than the Tuesday before the start of the fair.

Returns must be commissioned and collected by the exhibitor no later than the following Monday at 12:00 noon after the end of the fair. The exhibitor is responsible for delivery, collection and shipping.

1.14. Direct sales, contracts, competitions

Direct sales are not permitted unless expressly permitted by the fair organization.

The conclusion of contracts at the fair stand or the binding recruitment of members or employees is not permitted.

The implementation of competitions of any kind requires prior consultation with the fair organization.

1.15. Security and cleaning

The security of the fair hall is carried out by agents of the fair organization without liability for loss or damage to the exhibitor’s exhibition goods.

The exhibitor is solely responsible for the security and supervision of the individual stand during the daily opening hours as well as during the construction and dismantling. Movable objects must be locked up at night. For additional stand security, the exhibitor must use the security company used by the fair organization at his own expense.

The fair organization is responsible for the general cleaning of the grounds and the hall corridors. The cleaning of the stand is the responsibility of the exhibitor. The cleaning of the stands must be completed daily before the opening of the event.

The exhibitor or the stand builder commissioned by him is responsible for the disposal of the waste caused by him.

1.16. Disclaimer

The organizer or the fair organization assumes no duty of care for the exhibition goods and the stand equipment and excludes any liability for damage to them, except in the case of intent or gross negligence, also for its employees. This exclusion of liability also applies if objects are stored or accepted by the organizer or the fair organization.

Furthermore, the organizer or the fair organization excludes liability for disadvantages and damages that the exhibitor incurs as a result of erroneous information in the allocation of space, the construction of the stand or the stand design approval, flyer and magazine entries as well as through changes in the stand size not immediately complained about in writing and other faulty services, unless the organizer or the fair organization has to be responsible for this due to intentional or grossly negligent behavior of its own employees. The liability is limited in amount to such damages, the occurrence of which must typically be expected in contracts of the present type.

1.17. Insurance

The exhibitor must ensure that all necessary insurance policies are taken out.

1.18. Postponement and change of the fair

The organizer or the fair organization reserves the right to change the start, duration and/or the fair hall even after the conclusion of the contract with the exhibitor for important reasons. This does not give the exhibitor a right of withdrawal or a claim for damages.

1.19. Possible circumstances outside the sphere of influence of the organizer or the fair organization

The organizer or the fair organization points out that it is not foreseeable at the time the contract is concluded whether, how and, above all, under what circumstances the event that is the subject of the contract can be carried out. Circumstances that are outside the sphere of influence of the organizer or the fair organization and lead to the fact that, in particular, the legal conditions, the actual planning and feasibility as well as the economic opportunities for the event deviate from those at the time the contract was concluded are not the responsibility of the organizer or the fair organization. Accordingly, for example, an event that is not carried out due to fire, a severe storm, storm, hail, flood, earthquake, avalanches, mudslides, strikes, epidemic or pandemic (e.g. “COVID-19 pandemic”), civil unrest or riots, terrorist threat or attack, the latent danger of a bomb attack, war, reasons that relate to the protection of public safety, public health, or other reasons of public interest, etc. are in no way to be blamed on the organizer or the fair organization. There is therefore no liability or a breach of contractual obligations if the event cannot be carried out for such reasons or not in the agreed manner.

It is the sole responsibility of the exhibitor to obtain the information that is necessary or essential from his point of view in this regard. The organizer or the fair organization has no ancillary and no other contractual obligations, no information, no clarification and no advisory obligations in this context. However, the organizer or the fair organization may voluntarily inform the exhibitor about such information. The organizer or the fair organization cannot therefore be held liable for a failure to provide notification.

The organizer or the fair organization is free, without further hearing and notification, to take all those measures that must be taken or can be taken on the occasion of such an extraordinary factual and legal situation.

If the organizer or the fair organization has to cancel an event or shorten or cancel an event that has already started due to a circumstance outside the sphere of influence, the exhibitor has no claim to a refund or waiver of the participation fee. However, if the circumstance occurs up to 100 days before the start of the event, a cancellation fee of half of the agreed participation fee must be paid.

1.20. Digital fair

If the fair cannot take place, in particular for reasons of force majeure, the organizer reserves the right to carry out the fair digitally as a substitute. However, the substitute implementation of a digital fair is solely at the discretion of the organizer.

After the cancellation of the physical fair and the announcement of the implementation of a digital fair, the exhibitors must announce within 4 weeks, but no later than 2 weeks before the start of the fair, whether they want to participate in the digital fair, which is carried out instead of the physical fair.

The participation fee for the substitute digital fair is reduced in proportion to the participation fee for the physical fair by up to 30%

1.21. Exhibitor catalog

An entry of the name of the institution in the exhibitor catalog and/or the websites is mandatory and is included in the rental price.

1.22. Advertising in the exhibition rooms

Advertising of any kind is only permitted within the stand rented by the exhibitor for the exhibitor’s own company or institution and only for the exhibition goods manufactured, distributed or offered by him. Advertising material must not protrude into the aisles and must not exceed a height of 250 cm.

Advertising outside the rented stand is only permitted in exceptional cases after a separate agreement with the fair organization. Political advertising is generally not permitted.

The transfer of advertising space by an exhibitor to third-party companies is generally not permitted and requires consultation with the fair organization in individual cases.

1.23. Image and sound recordings

The organizer or the fair organization is entitled to take or have taken photographs, drawings as well as sound and video recordings of the exhibition activities, the exhibition stands and the exhibition objects and to use them for advertising or press publications without the exhibitor being able to raise objections to this. In addition, the stage program and workshops are recorded and, if necessary, published in the podcast, on the website, on social media or on Youtube. By participating in these program items, the exhibitor and visitor agree to the publication.

1.24. Obligation to register with AKM for music use

The exhibitor is obliged to carry out all necessary registrations with AKM on his own responsibility and in good time. This applies in particular to any music use at the fair stand, in the context of workshops, stage performances or similar event formats

1.25. Data protection

The organizer or the fair organization collects, stores and processes personal data that is disclosed by the exhibitors when registering to participate in the fair for the establishment, implementation and processing of the contractual relationship with the exhibitors. Insofar as the organizer or the fair organization must use external partners to fulfill its contractual obligations, the data disclosed by the exhibitor when registering for the fair will be passed on to them.

The data will only be used within the framework of the statutory provisions and exclusively for the defined purposes.

The declaration of consent given can be revoked at any time vis-à-vis the organizer or the fair organization by e-mail to info@sowiholding.at.

1.26. Final provisions

Written form

Deviations from the content of these terms and conditions of participation as well as side agreements are only legally binding if they have been confirmed in writing by the fair organization.

Applicable law

Austrian law shall apply to the mutual rights and obligations arising from the contractual relationship between the organizer or fair organization and the exhibitor.

Place of jurisdiction

The place of performance and jurisdiction is Innsbruck.

The organizer or the fair organization collects, stores, and processes personal data disclosed by the exhibitors when registering to participate in the fair for the establishment, implementation, and processing of the contractual relationship with the exhibitors. If the organizer or the fair organization must use external partners to fulfill its contractual obligations, the data disclosed by the exhibitor during fair registration will be passed on to them.

The data will be used exclusively within the framework of the statutory provisions and exclusively for the defined purposes.

The granted declaration of consent can be revoked at any time by sending an e-mail to info@sowiholding.at to the organizer or the fair organization.

2.26. Final provisions

Written form

Deviations from the content of these terms of participation as well as side agreements are only legally binding if they have been confirmed in writing by the fair organization.

Applicable law

Austrian law shall apply to the mutual rights and obligations arising from the contractual relationship between the organizer or fair organization and the exhibitor.

3. Fair Participation Career & Competence / Master Lounge

(As of August 6, 2025)

3.1. Organizer

The career & competence/master lounge in Innsbruck is organized and hosted by SoWi-Holding GmbH (company registration number: 573849x).

3.2. Objectives

The aim of the career & competence/ master lounge is to bring Young Professionals, graduates and students at the university location of Tyrol into contact with interesting future employers and to provide information about master’s degree programs and postgraduate study opportunities.

The exhibitors must contribute to the achievement of the goal by staffing their stands with appropriately qualified stand personnel.

3.3. Registration

The registration and order of a stand at the career & competence/ master lounge must be completely filled out and legally bindingly signed. The registration deadlines are apparent from the respective registration information. Verbal, telephone or conditional registrations cannot be considered. Registration is exclusively via the website https://sowiholding.at/

With the binding registration, the exhibitor acknowledges the terms and conditions of participation.

Agreements made are only legally binding for the organizer if they have been confirmed in writing by the organizer. Confirmation will be given after receipt of the participation fee.

3.4. Admission

The organizer has the sole right to decide on the admission of exhibitors. The organizer reserves the right to reject the participation of an exhibitor due to the limited total exhibition space, due to a late registration, due to the non-timely transfer of the participation fee as well as other reasons.

From an admission that has already taken place once, the exhibitor has no claim whatsoever to further admissions.

3.5. Participation fee and scope of services

The participation fee and the services included therein can be found in the online shop and will be sent with the order confirmation.

3.6. Payment

The full participation fee according to the order confirmation is to be paid within 14 days after the invoice date. In case of short-term registration for the fair (less than 14 days before the fair), the participation fee must be received before the fair.

Complaints regarding the invoices can only be considered if they are made in writing to the organizer within 14 days of the invoice date.

3.7. Withdrawal of the exhibitor

The withdrawal from the contract must be made in writing. In case of withdrawal from the contract up to 65 days before the event, a cancellation fee of half of the agreed stand fee is to be paid. If the withdrawal takes place after this date, the entire agreed amount of the stand fee is to be paid as a cancellation fee, regardless of whether the stand in question is sublet by the organizer or not.

3.8. Stand/space allocation

The stands are allocated in the order of the received and confirmed registrations by the organizer.

The allocation of the stands is exclusively reserved to the organizer and is made taking into account the theme and structure of the event as well as the available premises or the total area.

Stand requests will be considered if possible.

An exchange of the assigned stand with another exhibitor as well as a partial or complete transfer of the stand to third parties is not permitted without a corresponding agreement with the organizer.

3.9. Joint stands

In principle, it is possible for several exhibitors to share a stand. If several exhibitors want to rent a stand together, they must name one of them in the registration as an authorized exhibition representative who is the responsible contact person for the organizer. The additional entry in the fair special supplement is subject to a corresponding surcharge.

3.10. Opening Hours

For the exhibitors, the fair is open on the day of the event from 07:30 – 20:00. For visitors, the fair is open on the day of the event from 10:00 – 16:00; during this time, the stands must be staffed by the stand personnel.

3.11. Construction and dismantling of the stand decoration

The exact information about the construction and dismantling of the stand decoration, as well as the delivery of the fair material will be announced to the exhibitors in due time.

The construction can be carried out by the exhibitors on the day before the event between 8:00 – 17:00. The dismantling can begin at the earliest after the end of the fair (from 16:00) and must be completed by 12:00 noon of the following day at the latest. Own stand systems must without exception be removed from the hall by 12:00 noon of the following day.
A removal of exhibits and the dismantling of stands before the end of the event (16:00) is inadmissible and has the charging of a penalty of EUR 1,000,- as a consequence.

Only fire-police-approved materials may be used as stand decoration. For own carpets and textile decoration, a fire safety certificate must be brought along, which is to be presented on request.
The fire behavior of decoration articles must correspond to the following classifications:

  • according to ÖNORM B 3822 flame-retardant and non-dripping,
  • according to ÖNORM A 3800-1 weakly smoking (smoke development class Q1)

When using audiovisual equipment (televisions, monitors, projectors, etc.), the exhibitor must ensure that these do not disturb the neighboring exhibitors. Own boxes, announcements with microphones or music are not permitted. Each exhibitor will be informed in due time about the size and location of his stand in order to be able to prepare the stand decoration accordingly. Structural changes on the construction day before the start of the event can no longer be made.

All facilities and structures must be erected in a stable manner. Loudspeakers and spotlights overhead, with a dead weight of more than 3 kg, must be double-secured.

Advertising towers that are operated with hot air or air blowers must be secured against falling over in the event of a power failure.

3.12. Stand construction

The stand construction (standard stand) is carried out with 2.5m high aluminum uprights, as well as aluminum frames and 6mm homogeneous panels drawn in as wall elements (information sheet system walls). The uprights and frames must not be nailed, screwed, painted or glued. Painting over the homogeneous panels, wallpapering with non-removable wallpaper, as well as gluing with carpet adhesive tapes is not permitted. Damaged stand elements will be repaired or newly procured at the expense of the exhibitor.

Gluing the homogeneous panels with easily removable adhesive tape is permitted, as is wallpapering with removable wallpaper, provided that this does not result in any damage to the homogeneous panels. These must be removed without residue immediately after the end of the event, otherwise the additional expense will be charged. Until the proper return of the rented material or furniture to the stand construction company, the exhibitor/client is also liable for accidental damage. In case of improper return, the new price of the missing or damaged items will be charged. Complaints will only be accepted until the start of the event.

3.13. Advance deliveries and collection

Advance deliveries may be delivered at the earliest 7 days before the start of the fair and must be received at the address of the event location by the Tuesday before the start of the fair at the latest. Returns must be commissioned and collected by the exhibitor by the Friday after the end of the fair at the latest. The exhibitor is responsible for delivery, collection and shipping.

3.14. Direct sales, sweepstakes, etc.

Direct sales are not permitted unless expressly permitted by the fair organization. The implementation of sweepstakes of any kind requires prior consultation with the fair organization.

3.15. Security and cleaning

The security of the exhibition hall is carried out by agents of the fair organization without liability for loss or damage to the exhibitor’s exhibits. The exhibitor is solely responsible and liable for the security and supervision of the individual stand during the daily opening hours as well as during the construction and dismantling. At night, movable objects must be locked away. For additional stand security, the exhibitor must use the security company employed by the fair organization at his own expense.

The fair organization provides for the general cleaning of the grounds and the hall aisles. The cleaning of the stand is the responsibility of the exhibitor. The cleaning of the stands must be completed daily before the opening of the event.

The exhibitor or the stand builder commissioned by him is responsible for the disposal of the waste caused by him.

3.16. Disclaimer

The organizer assumes no duty of care for the exhibits and the stand equipment and excludes any liability for damage to them, except in the case of intent or gross negligence, also for its employees. This exclusion of liability also applies if objects are stored or accepted by the organizer.

Furthermore, the organizer excludes liability for disadvantages and damages incurred by the exhibitor due to erroneous information in the allocation of space, the stand construction or the stand design approval, flyer and magazine entries as well as due to changes in the stand size not immediately complained about in writing and other faulty services, unless the organizer has to be responsible for this due to intentional or grossly negligent behavior of its own employees. The liability is limited in amount to such damages, the occurrence of which must typically be expected in contracts of the present type.

3.17. Insurance

The exhibitor has to take care of the conclusion of all necessary insurances.

3.18. Postponement and change of the fair

The organizer reserves the right to change the beginning, the duration and/or the fair hall even after conclusion of the contract with the exhibitor for important reasons. The exhibitor does not acquire a right of withdrawal or a claim for damages as a result.

3.19 Possible circumstances outside the sphere of influence of the organizer or the fair organization

The organizer or the fair organization points out that at the time of conclusion of the contract it is not foreseeable whether, how and, above all, under what circumstances the event that is the subject of the contract can be carried out. Circumstances that are outside the sphere of influence of the organizer or the fair organization and lead to the fact that, in particular, the legal conditions, the actual feasibility of planning and implementation as well as the economic possibilities for the event deviate from those at the time of conclusion of the contract are not the responsibility of the organizer or the fair organization. Accordingly, for example, an event that is not carried out due to fire, a severe storm, storm, hail, flood, earthquake, avalanches, mudslides, strikes, epidemic or pandemic (e.g. “COVID-19 pandemic”), civil unrest or riots, terrorist threat or attack, the latent danger of a bomb attack, war, reasons that relate to the protection of public safety, public health, or other reasons of public interest, etc. are in no way to be blamed on the organizer or the fair organization. Therefore, there is no liability or a breach of contractual obligations if the event cannot be carried out for such reasons or not in the agreed manner.

It is the sole responsibility of the exhibitor to obtain the information that is necessary or essential from his point of view in this regard. The organizer or the fair organization has in this context no ancillary and no other contractual obligations, no information, no clarification and no advisory duties. However, the organizer or the fair organization may voluntarily inform the exhibitor about such information. The organizer or the fair organization can therefore not be held liable for a failure to notify.

The organizer or the fair organization is free to take all those measures without further hearing and notification that must be taken or can be taken on the occasion of such an extraordinary factual and legal situation.

If the organizer or the fair organization has to cancel an event due to a circumstance outside the sphere of influence or shorten or cancel an event that has already begun, the exhibitor has no claim to a refund or waiver of the participation fee. However, if the circumstance occurs up to 100 days before the start of the event, a cancellation fee in the amount of half of the agreed participation fee is to be paid.

3.20. Digital Fair

If the fair cannot take place, especially for reasons of force majeure, the organizer reserves the right to hold the fair digitally as a substitute. However, the substitute implementation of a digital fair is exclusively at the discretion of the organizer.

After the announcement of the cancellation of the physical fair and the announcement of the implementation of a digital fair, the exhibitors have to announce within 4 weeks, but no later than 2 weeks before the start of the fair, whether they want to participate in the digital fair, which is held instead of the physical fair.

The participation fee for the substitute digital fair is reduced in proportion to the participation fee for the physical fair by up to 30%.

3.21. Fair Special Supplement/Website

An entry in the exhibitor profile is mandatory and included in the participation fee.

3.22. Advertising in the exhibition rooms

Advertising of any kind is only permitted within the stand rented by the exhibitor for the exhibitor’s own company or institution and only for the exhibits manufactured, distributed or offered by him. Advertising outside the rented stand is only permitted in exceptional cases after a separate agreement with the fair organization. Political advertising is generally inadmissible.

The transfer of advertising space by an exhibitor to third-party companies is generally not permitted and requires consultation with the fair organization in individual cases.

3.23. Image and sound recordings

The organizer or the fair organization is entitled to take or have taken photographs, drawings as well as sound and video recordings of the exhibition activities, of the exhibition stands as well as the exhibition objects and to use them for advertising or press publications without the exhibitor being able to raise objections. In addition, the stage program and workshops are recorded and, if necessary, published in the podcast, on the website, on social media or on Youtube. By participating in these program items, the exhibitor and visitor agree to the publication.

3.24. Obligation to register with AKM for music use

The exhibitor is obliged to carry out all necessary registrations with AKM on his own responsibility and in good time. This applies in particular to any music use at the fair stand, in the context of workshops, stage performances or similar event formats

3.25. Data protection

The exhibitors must contribute to the achievement of the goal by staffing their stands with appropriately qualified stand attendants.

4.3. Registration

The registration and order for participation in the career & competence Backstube must be completely filled out and legally signed. The registration deadlines are apparent from the respective registration information. Verbal, telephone or conditional registrations cannot be considered. Placement requests will be considered if possible.

An exchange of the assigned space with another exhibitor as well as a partial or complete transfer of the stand to third parties is not permitted without a corresponding agreement with the organizer.

4.9. Participants

2 people per participating exhibitor can participate in the event. Additional participants only possible upon request and written confirmation.

4.10. Event Period

The event takes place from 2:00 p.m. to 6:00 p.m. and an informal get-together will be organized afterwards (food and drinks are not included).

4.11. Construction and Dismantling of the Stand Decoration

The exact information about the construction and dismantling of the stand decoration, as well as the delivery of the fair material will be announced to the exhibitors in good time.

5.1. Event and Organization

The Visio Tirol in Innsbruck is organized and hosted by SoWi-Holding GmbH.

5.2. Aim

The aim of Visio Tirol is to provide interested parties, pupils, their parents and teachers with an overview of as many training and career opportunities as possible. Prospective students and students should also have the opportunity to find out about the study conditions in domestic and foreign universities and colleges, as well as about postgraduate study opportunities. The broad spectrum of adult education should be presented – limited to higher qualified offers. Visitors should also be given the opportunity to make direct contact with companies with specific training and job offers.

The exhibitors have to contribute to the achievement of the goal by providing qualified personnel for the stand support.

5.3. Registration

The registration and order of a stand at the Visio Tirol is only possible via the fair online shop at https://sowiholding.at/ and must be completely sent. The registration deadlines can be found in the respective participation options or on the website https://visio-tirol.at/.

Registrations with reservations cannot be considered.

With the binding registration, the exhibitor acknowledges the terms and conditions of participation.

Agreements made are only legally binding for the organizer or the fair organization if they have been confirmed in writing by the fair organization. Confirmation will be made after receipt of the participation fee and verification of the registration.

54. Admission Requirements

The fair organization has the sole right to decide on the admission of exhibitors. The organizer or the fair organization reserves the right to reject an exhibitor’s participation due to the limited total exhibition space, due to a late registration and/or the participation fee not being transferred on time.

An exhibitor is not entitled to any further admissions as a result of a previous admission.

For exhibitors who do not offer advice on training and job opportunities in their field and who only want to use the fair to attract new customers for their products, different admission requirements and prices apply, which must be agreed separately with the fair organization.

5.5. Participation Fee and Scope of Services

5.6. Payment

The full participation fee must be received within 14 days of the invoice date to the account specified in the invoice, but in any case before the start of the fair.

5.7. Withdrawal of the Exhibitor

The withdrawal from the contract must be made in writing. If the contract is withdrawn (registration as an exhibitor see above) up to 100 days before the start of the event, a cancellation fee of half of the agreed participation fee must be paid.

If the withdrawal occurs after this date, the entire agreed amount of the participation fee must be paid as a cancellation fee.

Exhibitors who have been provided with the stand free of charge will be charged the full amount (regular price according to the price list) if they withdraw from their contract up to 30 days before the start of the event.

5.8. Stand Allocation

The stands will be allocated in the order in which the registrations are received and confirmed by the fair organization.

The allocation of the stands is exclusively reserved for the fair organization and will be made taking into account the theme and structure of the event in certain areas (General Advice and Information; Education and Career; Health, Sports, Social Affairs and Religion; Justice and Administration; Art, Culture and Media, Nature, Agriculture and Ecology; Languages, Travel and Tourism; Technology; Economy and Management) as well as the available premises or the total area.

Stand requests will be considered if possible. There is no claim to a specific location of the stand.

An exchange of the allocated stand with another exhibitor, as well as a partial or complete transfer of the stand to third parties, is not permitted without a corresponding written agreement with the fair organization.

5.9. Joint stands

In principle, it is possible for several exhibitors to share a stand. If several exhibitors want to rent a stand together, they must name one of them in the application as an authorized exhibition representative who is the responsible contact person for the organizer or the fair organization.

If several exhibitors share a stand, the minimum size of the booth is 9m².

5.10. Opening Hours

On all days of the event, the fair is open to visitors from 09:00 to 16:00 and to exhibitors from 08:00 to 18:00.

The exhibitors are responsible for manning the stand during opening hours for visitors.

5.11. Construction and dismantling of the stand decoration

The exact information about the construction and dismantling of the stand decoration, as well as the delivery of the fair material, will be announced to the exhibitors in good time.

Only materials permitted by the fire police may be used as stand decoration. A fire safety certificate must be brought for your own carpets and textile decorations, which must be presented on request.
The fire behavior of decorative items must meet the following classifications:

  • according to ÖNORM B 3822 flame-retardant and non-dripping,
  • according to ÖNORM A 3800-1 low smoke (smoke development class Q1)

Each exhibitor will be informed in good time about the size and location of their stand so that they can prepare the stand decoration accordingly. Structural changes on the set-up day before the start of the event can no longer be made.

When using audiovisual equipment (televisions, monitors, projectors, etc.), the exhibitor must ensure that it does not disturb neighboring exhibitors. Own boxes, announcements with microphones or music are not permitted.

All facilities and structures must be set up in a stable manner. Loudspeakers and spotlights overhead, with a dead weight of more than 3 kg, must be double-secured.

Advertising towers that are operated with hot air or air blowers must be secured against falling over in the event of a power failure.

5.12. Stand construction

The stand construction is carried out with 2.5m high aluminum uprights, as well as aluminum frames and 6mm homogeneous panels drawn into them as wall elements. For 6m2 standard stands, a 3m back wall and 1m side wall are built and the entire area of 3x2m can be used. Separate stand lighting, screens and screen lettering are not planned.

Nailing, screwing, painting or gluing is not permitted on the uprights and frames. Painting over the homogeneous panels, wallpapering with wallpaper that can no longer be removed, and gluing with carpet adhesive tape is not permitted. Damaged stand elements will be repaired or replaced at the expense of the exhibitor. Until the rented material or furniture is properly returned to the stand construction company, the exhibitor/client is also liable for accidental damage. If the items are not returned properly, the new price of the missing or damaged items will be charged.

Complaints will only be accepted until the start of the event. The removal of exhibits and dismantling of stands before the end of the event is not permitted and will be charged with a penalty of EUR 1,000.

5.13. Advance deliveries and collection

Advance deliveries may be delivered no earlier than 10 days before the start of the fair and must arrive at the address of the venue no later than the Tuesday before the start of the fair.

Return shipments must be commissioned and collected by the exhibitor no later than the following Friday at 12:00 noon after the end of the fair. The exhibitor is responsible for delivery, collection and shipping.

5.14. Direct sales, contracts, competitions

Direct sales are not permitted unless expressly approved by the fair organization.

The conclusion of contracts at the fair stand or the binding recruitment of members or employees is not permitted.

The implementation of competitions of any kind requires prior agreement with the fair organization.

5.15. Security and cleaning

The fair hall is guarded by agents of the fair organization without liability for loss or damage to the exhibitor’s exhibits.

The exhibitor is solely responsible for guarding and supervising the individual stand during the daily opening hours and during set-up and dismantling. Movable objects must be locked away at night. For additional stand security, the exhibitor must use the security company deployed by the fair organization at its own expense.

The fair organization is responsible for the general cleaning of the grounds and the hall aisles. The exhibitor is responsible for cleaning the stand. The cleaning of the stands must be completed daily before the opening of the event.

The exhibitor or the stand builder commissioned by him is responsible for the disposal of the waste caused by him.

5.16. Disclaimer

The organizer or the fair organization assumes no duty of care for the exhibits and the stand equipment and, except in the case of intent or gross negligence, excludes any liability for damage to them, even for its employees. This exclusion of liability also applies if objects are stored or accepted by the organizer or the fair organization.

Furthermore, the organizer or the fair organization excludes liability for disadvantages and damages incurred by the exhibitor due to erroneous information in the allocation of space, the stand construction or the stand design approval, flyer and magazine entries, as well as due to changes in the stand size not immediately reported in writing and other faulty services, unless the organizer or the fair organization is responsible for this due to intentional or grossly negligent behavior of its own employees. The liability is limited in amount to such damages, the occurrence of which must typically be expected in contracts of the present type.

5.17. Insurance

The exhibitor is responsible for taking out all necessary insurance policies.

5.18. Postponement and change of the fair

The organizer or the fair organization reserves the right to change the start, duration and/or the fair hall for important reasons even after the conclusion of the contract with the exhibitor. This does not give the exhibitor a right of withdrawal or a claim for damages.

5.19. Possible circumstances outside the sphere of influence of the organizer or the fair organization

The organizer or the fair organization points out that it is not foreseeable at the time the contract is concluded whether, how and, above all, under what circumstances the event that is the subject of the contract can be carried out. Circumstances that are outside the sphere of influence of the organizer or the fair organization and that lead to the legal conditions, the actual planning and feasibility and the economic opportunities for the event deviating from those at the time the contract was concluded are not the responsibility of the organizer or the fair organization. Accordingly, for example, an event that is not carried out due to fire, a severe storm, storm, hail, flooding, earthquake, avalanches, mudslides, strikes, epidemic or pandemic (e.g. “COVID-19 pandemic”), civil unrest or riots, terrorist threat or attack, the latent danger of a bomb attack, war, reasons that relate to the protection of public safety, public health, or other reasons of public interest, etc. are in no way attributable to the organizer or the fair organization. There is therefore no liability or breach of contractual obligations if the event cannot be carried out for such reasons or not in the agreed manner.

It is solely the responsibility of the exhibitor to obtain the information that he considers necessary or essential in this regard. In this context, the organizer or the fair organization has no ancillary and no other contractual obligations, no duty to provide information, no duty to clarify and no duty to advise. However, the organizer or the fair organization may voluntarily inform the exhibitor about such information. The organizer or the fair organization cannot therefore be held liable for a failure to provide notification.

The organizer or the fair organization is free to take all those measures without further hearing and notification that must or can be taken on the occasion of such an extraordinary factual and legal situation.

If the organizer or the fair organization has to cancel an event due to a circumstance outside the sphere of influence or shorten or cancel an event that has already begun, the exhibitor has no claim to a refund or waiver of the participation fee. However, if the circumstance occurs up to 100 days before the start of the event, a cancellation fee of half of the agreed participation fee must be paid.

5.20. Digital fair

If the fair cannot take place, in particular due to force majeure, the organizer reserves the right to hold the fair digitally as a substitute. However, the substitute implementation of a digital fair is solely at the discretion of the organizer.

After the cancellation of the physical fair has been announced and the implementation of a digital fair has been announced, the exhibitors must announce within 4 weeks, but no later than 2 weeks before the start of the fair, whether they want to participate in the digital fair, which will be held instead of the physical fair.

The participation fee for the substitute digital fair is reduced in proportion to the participation fee for the physical fair by up to 30%

5.21. Exhibitor catalog

An entry of the name of the institution in the exhibitor catalog and/or the websites is mandatory and is included in the rental price.

5.22. Advertising in the exhibition rooms

Advertising of any kind is only permitted within the stand rented by the exhibitor for the exhibitor’s own company or institution and only for the exhibits manufactured, distributed or offered by him. Advertising material must not protrude into the aisles and must not exceed a height of 250 cm.

Advertising outside the rented stand is only permitted in exceptional cases after a separate agreement with the fair organization. Political advertising is generally not permitted.

The transfer of advertising space by an exhibitor to third-party companies is generally not permitted and requires agreement with the fair organization in individual cases.

5.23. Image and sound recordings

The organizer or the fair organization is entitled to take or have photographs, drawings and sound and video recordings taken of the exhibition events, the exhibition stands and the exhibition objects and to use them for advertising or press publications without the exhibitor being able to raise objections to this. In addition, the stage program and workshops will be recorded and, if necessary, published in the podcast, on the website, on social media or on Youtube. By participating in these program items, the exhibitor and visitor agree to the publication.

5.24. Obligation to register with AKM for music use

The exhibitor is obliged to carry out all necessary registrations with AKM on his own responsibility and in good time. This applies in particular to any use of music at the fair stand, as part of workshops, stage performances or similar event formats

5.25. Data protection

The organizer or the fair organization collects, stores and processes personal data that is disclosed by the exhibitors when registering to participate in the fair for the establishment, implementation and processing of the contractual relationship with the exhibitors. If the organizer or the fair organization must use external partners to fulfill its contractual obligations, the data disclosed by the exhibitor during fair registration will be passed on to them.

The data will only be used within the framework of the statutory provisions and only for the defined purposes.

5.26. Final provisions

Written form

Deviations from the content of these terms and conditions of participation as well as ancillary agreements are only legally binding if they have been confirmed in writing by the fair organization.

Applicable law

Austrian law applies to the mutual rights and obligations arising from the contractual relationship between the organizer or fair organization and the exhibitor.

Place of jurisdiction

The place of performance and jurisdiction is Innsbruck.
