“BeSt – the Job and Education Fair” in Vienna is organised jointly by the Austrian Federal Ministry of Education (BMB) in cooperation with the Austrian Ministry of Women, Science and Research and the Austrian Public Employment Service (AMS). The Department of Public Relations / Science Communication of the BMB is in charge of the organization of the fair. The practical realisation is the responsibility of the BeSt Office, SoWi-Holding.
The fair aims to provide pupils, students, parents and educators with an overview of as many education and training programmes as possible as well as job opportunities after high school graduation.
For college and university students the fair provides the opportunity to gather information about study programs at universities abroad as well as postgraduate study programs. Visitors of the fair have the opportunity to get into direct contact with companies offering training programs and/or jobs.
For exhibitors the fair is to be a platform for the establishment of cooperation projects and for the exchange of information. Exhibitors contribute to the realisation of these goals by assigning experts as consultants at the fair.
To ensure implementation of the goals stated in item 2, the organizers reserve the right to examine submitted registration applications. Confirmation of a registration, including stand or space allocation, is the sole responsibility of the organizers. From the transmission of an order or registration confirmation, no legal entitlement to admission to a future trade fair can be derived.

Invoices will be issued at the beginning of February 2026, including the bank account details required for payment. The full booth rental fee must be paid no later than 10 March 2026. Timely payment of participation fees is a prerequisite for handover of the allocated booth. If the invoice amount has not been received by the due date, the organizer is entitled to allocate the booth to a third party without further notice and to invoice cancellation fees to the exhibitor in accordance with Section 6.
The registration deadlines are indicated in the participation options. Registration and the booking of a booth at the BeSt in Vienna become legally binding for the exhibitor upon the company’s authorized signature or by placing an order via the sowiholding.at online shop. For the organizers, agreements only become legally valid once the registration has been confirmed in writing or by email by the trade fair office. If no confirmation is received within 6 days of submitting the registration, please contact the trade BeSt-office.
For cancellations after February 15th, 2026, the full rent for the booth is due and must be paid within four weeks after the date of the cancellation. This does not affect the organiser’s right to claim further damages. The cancellation fees must also be paid if the originally agreed space can be rented to a third party.
If the event cannot be held due to reasons of force majeure (such as strikes, political events, epidemics, natural disasters, fire, official orders, delayed or missing official permits, changes in the law, terrorism, restrictions on energy supply) or other important reasons (spread of an infectious disease and related official requirements and orders), which are not within the sphere of influence of the organizer and which make the execution of the event unreasonable or impossible, the exhibitor will be informed immediately. In the case of a cancellation in this regard, the exhibitor is not obliged to pay the fee to the organizer in accordance with point 6; a fee that has already been paid is to be repaid by the organizer. This does not apply to services already provided.
The organizer is also entitled to cancel the event for economic reasons or to postpone it while maintaining the contractual relationship. If the event is postponed, however, the exhibitor shall not be entitled to any further claims of any kind, in particular no claims for compensation or cancellation rights.
According to the fair concept, the exhibitors are assigned to themed areas to make it easier for visitors to find their way around.

If necessary, the surface area of the booths may be increased or reduced by up to 10 per cent, in order to adapt booths to the available space in the exhibition hall.
Subleasing booth space to another institution or company is admissible only with prior written consent from the BeSt Office. As a matter of principle, leaving advertising space to another company is not admissible; exceptions are possible only on the account of exceptional arrangement with the BeSt Office.
The exhibitor is obliged to notify co-exhibitors and subtenants for entry in the list of exhibitors. The General Terms and Conditions for Exhibitors also apply to subtenants and co-exhibitors.
The event will take place in Hall C of Messe Wien. It will be open from 12 to 14 March 2026 from 9:00 to 18:00 and on 15 March 2026 from 9:00 to 17:00. The exhibitor must ensure that the booth is continually attended during the opening hours. Premature dismantling of the stand is not permitted. Otherwise, the organisers are entitled to terminate the contract without notice and to assert claims for damages against the exhibitor.
All special events and presentations that go beyond the normal presentation of the exhibitor’s professional and educational offers require the written approval of the organizer. If these disrupt the operation of the fair due to noise, dirt, exhaust fumes, etc., the organisers are entitled to restrict or prohibit the presentations, even after permission has been granted, without the exhibitor being entitled to claim compensation. The exhibitor is obliged to make the necessary registrations with AKM on his own responsibility.
Exhibitors will be informed in time about the schedule for booth decoration and removal. Decoration items must be made of fireproof, non-flammable materials. Exhibitors using carpets and textile decoration of their own will need a fire resistance certificate, which must be transmitted to the BeSt Office before the fair begins.
Exhibitors will be notified in time of the exact schedule for setting up and dismantling booth decorations. They must be strictly respected by the exhibitor. These times may only be exceeded with the written consent of the exhibition office. Only fireproof, non-flammable materials may be used for decorations at the booth. For own decoration materials, a corresponding certificate must be submitted to the fair office in advance of the fair. Any statics certificates must be kept ready.
If audio-visual equipment is used, the exhibitor must ensure that it does not disturb neighbouring exhibitors. Each exhibitor shall be informed of the size and location of his stand in time. Structural alterations are no longer permitted from the start of the set-up day.
The exhibitor is obliged to design his stand in such a way that the boundaries of his booth are not exceeded, and neighbouring areas are not disturbed by exhibits or advertising material. The height of stand structures (including labelling and decorations) may not exceed 250 cm. Taller structures are only permitted with the prior submission of construction plans and written authorization from the exhibition office. These plans must be submitted at least two months before the start of the trade fair. Multi-storey stands and glass structures are generally prohibited.
During the set-up and dismantling periods, each exhibitor must take particular care to ensure the safety of his goods. If the dismantling time announced by the exhibition office is exceeded, the organizer has the right to dismantle and store the stand constructions and their contents at the expense and risk of the exhibitor. After dismantling, the original condition of the rented space must be restored. Damage caused by improper handling of the stand areas, structures and equipment must be compensated by the exhibitor.
The structure consists of aluminium posts and aluminium frames fitted with homogeneous wall elements. It is prohibited to nail, screw or glue anything or apply paint to the posts, frames or walls. It is also prohibited to apply paint, nonremovable wallpaper, stickers or carpet adhesive tape to the particleboard wall elements. In case of non-compliance exhibitors have to bear the costs incurred. The use of removable wallpaper, posters and of pins that do not perforate the wallboards is admissible, however, these must be removed immediately after the end of the fair, otherwise the exhibitor will have to pay for additional costs. Exhibitors are responsible for any damage – even accidental damage – to rented equipment and furnishing until these materials are duly returned to the booth construction company. If rented objects are not returned in good condition, the exhibitor will be charged the original price of the missing or damaged objects. Complaints are accepted only if put forward prior to the beginning of the fair. Exhibitors with their own booth construction cannot begin assembly until the general booth construction company (Standout GmbH) has approved the booth area.
Special services provided by VIECON-Messe Wien (suspensions, etc.) will be invoiced directly.
Additional connections for electricity and water as well as other technical supplies can be provided to the exhibitor against payment of connection and utilization fees. The installation of supply lines may only be carried out by authorized partner companies of the organizers or the exhibition grounds. All exhibitor’s equipment, systems and installations must comply with the applicable standards and the legal regulations and requirements for the event.
Vehicles of any kind may not be driven into the exhibition halls. The exhibitor must obtain written permission from the organizer in advance for special transport. From the time of set-up, vehicles may only be parked in the designated car parks; in particular, entrances, access roads and fire brigade zones must be always kept clear. Trucks over 3.5 tons may not be parked in the car parks during the trade fair. The Organizer is entitled to have incorrectly parked vehicles removed at the owner’s expense.
Messe Wien (VIECON) and the organisers shall not accept any consignments on behalf of the exhibitor and shall not be liable for any losses or for incorrect or late deliveries. If deliveries need to be sent to Messe Wien in advance, these can be handled by DHL for a fee. The relevant contact details for DHL can be obtained from the BeSt office.
The distribution of printed materials or promotional gifts of any kind and the performance of other advertising and marketing activities outside the allocated booth area (including in the car parks) is prohibited.
In the case of violations of competition law, the organizer is entitled to close the exhibitor’s stand, whereby all corresponding claims of the exhibitor are excluded.
Goods, products or brochures may only be sold with the express written authorization of BeSt office.
No deals may be concluded or members recruited on a binding basis.
The organization of competitions of any kind requires prior agreement with the BeSt office.
An entry of the name of the institution/university or company in the list of exhibitors and on the BeSt website is mandatory for all exhibitors (including co-exhibitors) and is included in the rental price. After the exhibitor directory has gone to press (mid-January of the event year), entries will only be made on the websites.
Exhibitors are responsible for ensuring that their own details in the list of exhibitors are correct and complete. The organizers are not liable for incorrect entries or details in the list of exhibitors (online and print) or in other printed materials.

Billing is carried out directly by CANCOM GmbH.
For the operation of your own Wi-Fi equipment, the BeSt-office can provide you with the relevant specifications issued by CANCOM GmbH.
No insurance for the exhibitor’s objects, materials or booth is included. Exhibitors may obtain insurance for objects and equipment brought to the fair; conditions will be communicated in due time. Books, brochures, printed materials and floral decorations are not insured.
No liability is assumed for items deposited for safekeeping with the BeSt-office or in Messe Wien storage areas.
Exhibitors are only permitted to display weapons with the express written authorization of the BeSt-office. In addition, the exhibitor is obliged to strictly observe all relevant legal regulations regarding the safekeeping of weapons. In the event of violations of these regulations, the organizer is entitled to take security measures or close the exhibition stand at the exhibitor’s expense. The exhibitor shall indemnify and hold the organizer harmless against any third-party claims arising from violations of the specified safety regulations or applicable laws.
The exhibitor shall be liable for any damage caused by him, his employees, authorized representatives or his exhibition objects and equipment to persons or property. He undertakes to indemnify the organizer against any corresponding claims by third parties. The organizer accepts no liability for theft, loss or damage to the exhibitor’s exhibits, equipment and vehicles. Apart from personal injury, the organizer’s liability for damages suffered by the exhibitor, regardless of type and legal grounds, shall be limited to such damages that can be proven to have been caused intentionally or through gross negligence by the organizer or its vicarious agents. Liability for indirect damage, consequential damage, pure financial loss or loss of profit is excluded. The liability of the organizer is limited to the amount of the contractually agreed fee. The exhibitor must notify the organizer in writing of any claims immediately, but at the latest within 7 days of becoming aware of them, otherwise they shall lapse. Claims for damages must be asserted within 3 months of the event causing the damage. Further warranty and liability claim by the exhibitor, insofar as legally permissible, are excluded.
The data transmitted to the BeSt-office will be used exclusively for purposes related to BeSt (communication, stand invoicing, list of exhibitors, internet presentation, media partners, etc.).
The processing of personal data by the organizer is carried out in accordance with the applicable data protection regulations. If the exhibitor transmits personal data of third parties (that includes representatives, contact persons, clerks or other employees of his company) during fair registration or contract processing, he is obliged to inform the persons concerned immediately and to provide them with the data protection declarations of the responsible organizer. The exhibitor shall be liable for all disadvantages incurred by the organizer because of a breach of this obligation.
The exhibitor is obliged to pass on these terms and conditions as well as the contractual components contained within them and other conditions stated in the offer in full to his employees, representatives, co-exhibitors and other trade fair participants and to ensure compliance with them. He shall be liable for compliance with these provisions in the same way as for his own negligence. Any deviating provisions or terms and conditions of the exhibitor shall be legally valid only with the express written consent of the exhibitor.
The place of performance and jurisdiction shall be Vienna. Austrian law shall apply exclusively, to the exclusion of any conflict-of-law rules referring to foreign law.
The house rules and the technical regulations of the event venue form an integral part of this contract.
Should individually provisions of this contract be or become invalid or unenforceable in whole or in part, this shall not affect the validity of the remaining provisions of this contract. The invalid or unenforceable provision shall be replaced by a valid and enforceable provision whose effects come closest to the economic objective pursued by the contracting parties with the invalid or unenforceable provision. The above provisions shall apply accordingly in case the contract proves to be incomplete. If the interpretation is inadmissible for legal reasons, the contracting parties undertake to make supplementary agreements accordingly. In the event of non-agreement, the relevant statutory provisions at the time of performance shall apply on a subsidiary basis.
The BeSt Office reserves the right of decision on all matters not mentioned in items 1 to 23 of these Terms and Conditions as well as the right to take all requisite measures in such cases.
By submitting the binding registration, the exhibitor/client accepts these Terms and Conditions for Exhibitors.
